Donor and supporter relations

Write a personal thank-you note template

Gives you a warm, reusable note that sounds like a person wrote it.

Lower risk: public info only — Write the template with placeholders; add real donor names yourself afterward.

Please note: This site is only a guide to help people understand. Consult your IT, security and/or privacy department for clarification.

Before you start, gather

Copy [SIGNER NAME] and [ORGANIZATION NAME] exactly as they appear on your letterhead or past thank-you letters. List the gift levels and [GIFT PURPOSE] choices you really offer, so the three versions match them.

Starter prompt

Write three versions of a short, sincere thank-you note from [SIGNER NAME] at [ORGANIZATION NAME] to a donor. Versions: first-time donor, returning donor, and larger-gift donor. Use placeholders like [DONOR FIRST NAME] and [GIFT PURPOSE]. Avoid clichés, keep each under 90 words. Do not invent gift amounts, results or personal details. Leave them as placeholders.

Paste the prompt into your AI tool first, then replace the placeholders with your own details. Don't use real names of clients or donors.

Open an AI tool

You are leaving this guide. Copy the prompt first, then open a tool. The link goes to the website of the company named on each link, in a new tab. That company's terms and privacy policy apply there. Paste the prompt in, then replace the placeholders with your own details. Don't enter real names or confidential details.

Check the result

Read it aloud to see if it sounds like you, and make sure no placeholder is left in the final version.

What it might get wrong

A gift amount, date, program result or personal detail that the template invents. Tax-deductibility wording your receipt policy does not use.
