Volunteer management

Write a shift reminder message template

Reduces no-shows with a friendly, clear message you can reuse.

Lower risk: public info only — Use placeholders for names and times; don't paste your volunteer roster.

Please note: This site is only a guide to help people understand. Consult your IT, security and/or privacy department for clarification.

Before you start, gather

Keep [VOLUNTEER FIRST NAME] and [SHIFT DATE AND TIME] as merge fields for your scheduling tool. Take [LOCATION] and [CANCEL METHOD] from your volunteer policy, and list [ITEMS] as the shift lead would hand them out.

Starter prompt

Write a short text message and a longer email reminder for a volunteer shift. Include [VOLUNTEER FIRST NAME], [SHIFT DATE AND TIME], [LOCATION], what to bring ([ITEMS]), and how to cancel or swap ([CANCEL METHOD]). Friendly and under 50 words for the text. Do not add parking, check-in or cancel rules that I did not give. Write MISSING INFO instead of guessing.

Paste the prompt into your AI tool first, then replace the placeholders with your own details. Don't use real names of clients or donors.

Open an AI tool

You are leaving this guide. Copy the prompt first, then open a tool. The link goes to the website of the company named on each link, in a new tab. That company's terms and privacy policy apply there. Paste the prompt in, then replace the placeholders with your own details. Don't enter real names or confidential details.

Check the result

Send a test to yourself and confirm every placeholder fills in correctly.

What it might get wrong

A parking, check-in or dress-code instruction you never gave; a made-up cancel deadline; a text over 50 words that pushes the key time out of view.
