Donor and supporter relations

Write a lapsed-donor win-back email

Drafts a kind, no-guilt note that invites past donors to come back.

Take care first — Write one general template; do not paste a list of lapsed donors, names or gift histories.

Please note: This site is only a guide to help people understand. Consult your IT, security and/or privacy department for clarification.

Before you start, gather

Set [NUMBER OF MONTHS] from how your donor database defines lapsed. Take [PAST IMPACT] from your last impact report and [RECENT NEWS] from a recent newsletter or press post.

Starter prompt

Write a short, warm email from [ORGANIZATION NAME] to supporters who gave in the past but not in the last [NUMBER OF MONTHS] months. Do not guilt them. Remind them of what their support helped do: [PAST IMPACT]. Share one recent update: [RECENT NEWS]. Offer an easy way to give again and an easy way to opt out. Do not invent impact, gift history or news. If something is missing, write MISSING INFO.

Paste the prompt into your AI tool first, then replace the placeholders with your own details. Don't use real names of clients or donors.

Open an AI tool

You are leaving this guide. Copy the prompt first, then open a tool. The link goes to the website of the company named on each link, in a new tab. That company's terms and privacy policy apply there. Paste the prompt in, then replace the placeholders with your own details. Don't enter real names or confidential details.

Check the result

Make sure the tone is kind rather than pushy, and that it follows your unsubscribe and email-consent rules.

What it might get wrong

Past results credited to supporters' gifts that you never reported, a gift amount or date it implies, or an opt-out promise your email tool cannot honor.
