The Nonprofit AI Almanac

Donor and supporter relations

Draft a donor stewardship calendar

Maps out thank-yous and updates across the year so donors hear from you for more than asks.

Lower risk: public info only — Describe donor groups in general terms (for example 'first-time donors') rather than listing people.

Please note: This site is only a guide to help people understand. Consult your IT, security and/or privacy department for clarification.

Before you start, gather

List [DONOR GROUPS] the way your donor database defines them, such as first-time, monthly or major donors. Set [HOURS PER MONTH] from real staff capacity. List the newsletters, reports and events you already produce in [CURRENT NEWSLETTERS REPORTS AND EVENTS].

Starter prompt

Create a 12-month stewardship calendar for [ORGANIZATION NAME]. We have these donor groups: [DONOR GROUPS]. Our staff time for this is about [HOURS PER MONTH] hours a month. We already produce: [CURRENT NEWSLETTERS REPORTS AND EVENTS]. For each month list touchpoints (thank-yous, updates, invitations) that are not asks, and note who might do each. Build touchpoints only from what we already produce. If one is unclear, write MISSING INFO instead of guessing.

Paste the prompt into your AI tool first, then replace the placeholders with your own details. Don't use real names of clients or donors.

Open an AI tool

You are leaving this guide. Copy the prompt first, then open a tool. The link goes to the website of the company named on each link, in a new tab. That company's terms and privacy policy apply there. Paste the prompt in, then replace the placeholders with your own details. Don't enter real names or confidential details.

Check the result

Check that the plan fits your real staff time and that it avoids hitting any one group too often.

What it might get wrong

Events, reports or newsletters your team does not produce, listed as touchpoints. A workload that quietly exceeds the staff hours you gave.
