Board and governance

Draft a board meeting agenda

Builds a focused agenda, with a consent agenda (routine items approved in one vote) and an executive session (a private board-only portion), that uses meeting time well.

Lower risk: public info only — List topics and not confidential details of discussions.

Please note: This site is only a guide to help people understand. Consult your IT, security and/or privacy department for clarification.

Before you start, gather

List [TOPICS] by title only, from your last minutes and open action items. Name [ROLES] such as chair or treasurer as your bylaws define them. Leave out private details of discussions.

Starter prompt

Draft an agenda for a [LENGTH] board meeting of [ORGANIZATION NAME]. Topics: [TOPICS]. Mark each item as information, discussion or decision, give suggested time, name who leads ([ROLES]), and include a consent agenda and executive session slot. Do not label any item as required by our bylaws, or cite notice or time rules I did not give; write CHECK BYLAWS instead of guessing.

Paste the prompt into your AI tool first, then replace the placeholders with your own details. Don't use real names of clients or donors.

You are leaving this guide. Copy the prompt first, then open a tool. The link goes to the website of the company named on each link, in a new tab. That company's terms and privacy policy apply there. Paste the prompt in, then replace the placeholders with your own details. Don't enter real names or confidential details.

Check the result

Make sure it covers anything your bylaws require and that timing is realistic.

What it might get wrong

A required agenda item or notice rule stated as if your bylaws demand it. Time slots that add up to more than the meeting length. A consent agenda holding items that need a separate vote.
